This document outlines the terms and conditions for admission, the list of documents required, and the items to carry for the Foundation (Residential) Program at Doon Defence Dreamers. By applying for or joining any course (NDA, NDA Foundation, CDSE, AFCAT, RIMC, MNS), the applicant and parent/guardian agree to the terms below.

1) Terms & Conditions for Admission

  • Eligibility

    • Applicant must meet course-specific eligibility (age, education, and medical fitness as per respective exam guidelines).

    • For the Foundation (Residential) Program, students must be willing to follow hostel rules, discipline, and daily routine.

  • Admission Process

    • Submit the admission form with accurate details; false or misleading information may lead to cancellation without refund.

    • Attach required documents at the time of admission and present originals for verification when asked.

    • Admission is confirmed only after fee payment as per the issued fee structure and receipt generation.

  • Fees & Refunds

    • Fee components and due dates will be communicated at admission.

    • All fees are non-refundable except any refundable amount explicitly stated and documented during admission.

    • Late fee may be applicable for delayed payments; non-payment may result in suspension from classes.

  • Code of Conduct & Discipline

    • Students must adhere to institute and hostel rules, maintain discipline, and respect staff, peers, and property.

    • Possession or use of prohibited items (tobacco, alcohol, drugs, weapons, fireworks, offensive materials) is strictly banned and may lead to expulsion.

    • Bullying, harassment, violence, or misconduct on/off campus, including online spaces/groups related to the institute, will invite strict action.

  • Attendance & Performance

    • Minimum attendance as prescribed by the institute is mandatory. Irregular attendance can lead to disciplinary action and exclusion from tests.

    • Students must participate in classes, PT/parade, tests, doubt sessions, and assessments as scheduled.

    • Parents/guardians will be periodically informed of performance and attendance.

  • Hostel & Residential Rules (Foundation Program)

    • Hostel room allocation is decided by administration; requests for specific rooms are subject to availability and approval.

    • Students must follow wake-up, study hours, PT schedule, mess timings, and lights-out.

    • Damage to hostel/institute property (rooms, furniture, fixtures) will be charged to the responsible student(s); repeated offenses may lead to expulsion.

    • Mess is compulsory for residential students. Outside food delivery may be restricted as per rules.

    • Electrical appliances (heaters, kettles, immersion rods, high-wattage devices) are not allowed unless approved.

  • Health, Safety, and Medical

    • Students must disclose any pre-existing medical conditions at admission.

    • In case of illness/injury, the institute may provide first aid and coordinate medical attention. Medical costs are borne by the student/guardian.

    • Students must maintain personal hygiene and fitness standards required for defence-oriented training.

  • Use of Personal Devices & Internet

    • Mobile phone usage may be restricted to designated hours/areas. Misuse may result in confiscation for a defined period.

    • Laptops/tablets for study may be permitted as per program requirements and staff discretion.

    • Posting institute content, staff/student images, or confidential materials without permission is prohibited.

  • Study Materials and IP

    • Study materials, test papers, and digital content are for personal use only and must not be reproduced, distributed, or shared without written consent.

  • Transportation & Outings

    • Outings are allowed only with prior permission and as per schedule. Gate pass procedures must be followed.

    • Parents/guardians must submit authorized visitor details; release to unauthorized persons is not permitted.

  • Leave Policy

    • Leave must be requested in advance through the prescribed format and will be granted at the institute’s discretion.

    • Frequent/unapproved leave impacts attendance and may lead to disciplinary action.

  • Examination & Certification

    • Internal tests and evaluations are integral; malpractice or cheating will result in strict action, including suspension.

    • Course completion requires meeting attendance, discipline, and assessment standards.

  • Photography/Media Consent

    • The institute may capture photos/videos during training, events, and ceremonies for academic and promotional purposes. Consent can be managed via the admission form.

  • Legal & Jurisdiction

    • Any disputes are subject to the administrative processes of the institute and, if required, the jurisdiction of the competent courts where the institute is located.

  • Policy Updates

    • The institute may update policies, schedules, and rules. Notices will be communicated via official channels; continued enrollment implies acceptance.

2) Documents Required at Admission

  • Mandatory

    • Recent passport-size photographs (6–8 copies)

    • Government-issued photo ID (Aadhaar/Passport/PAN/Driving License) – photocopy + original for verification

    • Address proof (Aadhaar/Utility bill/Ration card) – photocopy

    • Date of birth proof (Birth Certificate/10th Marksheet) – photocopy

    • Academic records:

      • 10th Marksheet and Certificate

      • 12th Marksheet and Certificate (if applicable)

      • For Foundation students still in school: latest school ID and progress report

    • Transfer Certificate/School Leaving Certificate (if applicable)

    • Migration Certificate (if applicable for board change)

    • Medical fitness certificate from a registered medical practitioner (preferably recent, within 30–60 days)

    • Parent/Guardian ID proof and two emergency contact numbers

  • Optional/Conditional

    • Caste/Category certificate (if seeking applicable benefits)

    • Bonafide/Character certificate (if required by admin)

    • Vaccination record/medical history summary (recommended)

    • Passport-size photographs of parents/guardians for gate pass

  • For Fee Payment & Admin

    • Copy of fee receipt/transaction proof

    • Signed admission form and undertaking (discipline, device use, hostel rules, refund understanding)

Note: Originals may be required for on-the-spot verification and will be returned after verification.

3) Things to Carry for Foundation (Residential) Program

  • Clothing & Uniform Basics

    • Daily wear: 6–8 sets of comfortable clothing suitable for classes and PT

    • PT/sports wear: 3–4 sets of track pants/shorts, breathable t-shirts

    • Footwear: 1 pair running shoes, 1 pair casual shoes/sandals, slippers

    • Socks (8–10 pairs), innerwear (adequate for 10–14 days)

    • Seasonal wear: light sweater/windcheater; winter jacket, thermals, gloves, cap (as per season)

    • Rain gear: compact umbrella/raincoat (monsoon)

  • Hostel Essentials

    • Bedsheet (2), pillow cover (2), light blanket/razai as per season

    • Personal towel (2), napkin (2)

    • Small lock(s) with keys, luggage tags

  • Personal Care & Hygiene

    • Toiletries: toothbrush, toothpaste, soap/body wash, shampoo, oil, comb, deodorant (non-aerosol), nail cutter

    • Basic first-aid: band-aids, antiseptic, pain relief spray, personal medications with prescriptions

    • Reusable water bottle (1L), small tiffin/snack box if desired

  • Study & Stationery

    • Notebooks/registers, pens, pencils, highlighters, geometry box

    • Folder/file for documents, stapler, sticky notes

    • Scientific calculator (if permitted), exam board

  • Training Accessories

    • Small digital watch (non-smart if smartwatches restricted)

    • Yoga mat (optional but recommended)

    • Sports cap, sweatbands (optional)

  • Electronics

    • Basic mobile phone or smartphone as per institute policy

    • Chargers, power bank (optional, within allowed wattage)

    • Earphones (only for permitted times), extension board (if allowed)

  • Miscellaneous

    • ID card lanyard (will be issued by institute if applicable)

    • Laundry bag, cloth hangers (2–4)

    • Pocket notebook for schedules and targets

    • Small torch/flashlight

  • Prohibited Items

    • Tobacco, alcohol, drugs, e-cigarettes, weapons, fireworks

    • High-wattage appliances (immersion rod, heater, iron) unless explicitly approved

    • Offensive/obscene materials, gaming consoles (unless permitted), drones

    • Any item restricted by hostel/institute from time to time

4) Parent/Guardian Responsibilities

  • Ensure timely fee payments and updated emergency contact information.

  • Cooperate with institute on attendance, performance reviews, and conduct updates.

  • Inform the institute promptly of medical or psychological conditions affecting training.

5) Acknowledgement & Undertakings

At admission, the student and parent/guardian must:

  • Sign the admission form and undertakings covering: discipline, hostel rules, device usage, anti-bullying, academic integrity, leave policy, and refund policy.

  • Acknowledge that violation of rules can result in penalties, suspension, or expulsion without refund (except any refundable amount documented at admission).
